Role
The O&M Information Manager (O&M IM) helps coordinate project-specific building handover information and help populate and develop our innovative Operance O&M and ‘golden thread’ information management platform with key product and supplier data. We are looking to integrate an O&M document controller into our software product team. We’re looking for someone that has O&M experience, with an interest in digital and tech, that can help us better understand our customer’s wants and needs and help develop our platform and customer success management processes. Whilst the initial role is short-term, the longer-term is based on progressing through the software support route, helping our customers get the best out of our platform and help our product designers create a disruptive tech solution that solves traditional O&M coordination issues and satisfy new Building Safety Act golden thread requirements. Their objectives are as follows:
- Support our customer’s designers, contractors and supply chain in coordinating the best quality operations and maintenance (O&M) handover information via our innovative Operance platform.
- Populate our data templates by liaising with manufacturers to complete and crowdshare to help create greater efficiencies for our users.
- Develop our evolving supply chain management database, helping organisations enhance their profiles, compile their information libraries (fire safety certificates, conformity certificates etc) and
- Feedback user experience to help drive the continuous improvement of our software platform as both a user and customer support agent, reporting bugs and requesting slight improvements and new features requested by yourself our users.
The O&M IM acts as a conduit between the information management services delivery team and our product management team in helping clients develop their handover information and improving our platform at the same time.
Led by our Services Team Lead, responsible for delivering quality digital building information modelling (BIM), common data environment (CDE) and operations and maintenance (O&M) information management services, this is a great opportunity to work closely with both our customers and our product team improve our platform as a super-user. We are looking for a creative, high-energy, motivated individual, who enjoys a coordination challenge whilst acting with integrity at all times to join our Services team, the engine that drives the improvement of growth of Operance usage across the UK and beyond.
Responsibilities

O&M Coordination: assisting key account customers in the curation of their O&M handover information, liaising with designers, contractors and suppliers to provide quality digital-only data in a timely manner.

Onboarding Support: supporting new users, you will help guide and train them in using the platform to provide their own O&M information, promoting the automated approach to O&M coordination.

Progress Reporting: requirement to regularly update manual trackers in some instances and help further develop our automated in-app dashboard tracking and reporting feature.

Data Set Population: liaising with suppliers and manufacturers to populate product data sets available through our platform to create greater efficiencies for our users in providing their O&M information.

Supply Chain Management System (SCMS) Development: ownership of our developing module ‘ASSIGN’ in which clients, designers, contractors and suppliers create, list and develop their organisational profiles, populating their own library with product conformity certificates, insurances, guarantees and more. The O&M IM will help further develop this module by helping organisations make the most of the feature and sharing user feedback with our product team.

User Feedback: As a user of the platform yourself and direct liaison with our customer users, you will be responsible for recording user experience feedback, providing bug reports, slight improvements and new feature requests alongside regular usage data reports.
Skills & Requirements

Experience: at least 3 out of the last 5 years experience in developing operations and maintenance (O&M) manuals and/or health and safety (H&S) files required. Please do not apply unless you can prove evidence of this.

Education: college level qualifications or higher in subjects such as construction management, engineering, design or related fields are desirable, but not necessary.

Technical Authoring: whilst dependant on the supply chain to provide information themselves, knowledge of the various technical documents such as Operations and Maintenance (O&M) manual, Health and Safety (H&S) file, Building User Guide (BUG) and Building Log Book (BLB) highly desirable.

Coordination skills: ability to communicate requirements and manage deadlines effectively. Able to prioritise workload to guarantee deadlines are met and be able to self-manage time and ensure daily activities are met. Ability to work independently and work well with others within a team.

Communication skills: with much of their time spent talking to users and manufacturers developing relationships, excellent communication skills are required in order to clearly communicate verbally. With superb writing, communication, and listening skills, they understand objections and impediments, empathising with client/buyer challenges and issues, turning skeptics into ecstatic repeat users.
